INDEXING REQUIREMENTS The Rapid Rental system uses indexes to speed the operation of the program during any action that requires looking up information. These indexes require 'maintenance' periodically to ensure that they are current, and that all the information in them is correct. In most cases 're-indexing' should be performed at least once a week. At times, when the use of the system is heavy, some people re-index daily. There are no drawbacks to re-indexing more frequently than once a week other than the time required for the system to process the information (which varies depending on how much information and how fast your computer system(s) run). All of the standard indexes are kept on one menu in Rapid Rental and to access them follow these directions: Go to the Rapid Rental Main Menu Choose C for Maintenance Choose 1 for Indexing Menu This menu contains all the standard indexes. To rebuild all of the indexes choose option: E -- Rebuild all indexes and turn on If you are only using specific indexes, for example movie codes and customer phone numbers only, then you can choose to only rebuild the indexes you are using by: F -- Rebuild all active indexes You can also choose to only rebuild one specific index. For example, if your movie names appear out of order on a list (they are not alphabetical) then you may choose to rebuild only the Movie Name index by: 4 -- Movie name index When you choose to rebuild an index you will have to confirm the fact that you want to perform the rebuild, choose the affirmative option to proceed with the re-index. The Rentrak interface version of the Rapid Rental software also uses an auxiliary index. The auxiliary index is used for the Rentrak movie names, the command to perform a re-index of this file is not contained in the Indexing Menu of Rapid Rental. To perform a reindex of the Rentrak movie name file: Exit to the Access System Menu (If you have exited to DOS type Menu and hit enter) Choose option number 5 -- Rebuild Index Files If you do not have Option 5 on your access system menu you will have to: exit to DOS and at the C:\VIDEO> prompt type RENTRAK POSPROGQ and press enter. type MENU and press enter to return to the access menu. The Rentrak movie name index should be run weekly, after receiving a title request, and at any time you have having difficulty finding a movie name when entering new movies (after having performed the title request). Reindexing will typically resolve code 100 and 103 errors, any problems with the correct alphabetization of lists, finding "missing" codes, when you were previously able to recall the name or code and can no longer do so, and finding duplicate keys (you have to correct duplicates manually). In general reindexing regularly helps reduce overall problems with finding and searching through your data, and as a rule of thumb reindexing first when having difficulties can often solve problems you may encounter.
